Overview

All Movie Tracker is an easy to use database program that will allow you to catalog and track all of the movies in your collection. Twenty four data fields allow you to record all the details of your movies. Only the title field is required, so you may enter as much or as little information as you wish to enter. A Price field allows you to track the value of your movies for insurance purposes. A Notes field stores an unlimited amount of text and provides a place for you to record any information not accommodated in the other data fields.

All Movie Tracker includes a powerful search option that will quickly allow you to locate the information on a particular movie. A selection of standard reports is available to easily retrieve information about movies in the database. A powerful custom report tool allows you to design your own reports, containing only the information you are interested in.

Entering Your Registration Key

When you purchase All Movie Tracker, you are sent a registration key code by email that will allow you to convert the program from the limited evaluation mode to the full registered version. Select Enter Registration Key from the Help Menu to display the registration window. Enter your name and registration key in the fields provided, exactly as they appear in the email message you received. We recommend that you copy and paste from the email into the registration window to save the trouble of retyping the information and to avoid the possibility of typing errors.


Movies

The main window of the program presents all of the information associated with an individual movie. Movies are sorted alphabetically by the movie title. You may use the navigation buttons at the bottom of the window to move between the different movies. First will move to the first movie in the database which is displayed by default when the program first opens. The Previous and Next buttons will move movie-by-movie through the database. The Last button will move immediately to the very last record in the database.

Once any number of movies have been entered, it will be much easier to locate an individual movie by using the Find button. Clicking on Find will display the search window where you may select the field that you wish to search and the specific information that you wish to search for.


Adding new movies

Click on the Add New button to add a new movie to the database. Enter information for all the fields you wish to track in the program by tabbing through the screen fields. When you have finished entering the movie's information, click on the Update button. If you change your mind about entering the movie, click on the Cancel button.

If you're entering a number of movies at once, you may click on the Add Another button instead of clicking Update. Clicking on Add Another will save the information you have just entered as a movie record and clear the window so that you may immediately began entering the next movie.


Finding an Movie

Click on the Find button to locate the information for a particular movie. After you click this button, a window will appear where you may select the field, the operator and the text or value to find. Text fields may be searched for specific text in various positions. For number, currency or date fields, you may select operators such as equals, less than, greater than, etc. True/False fields allow you to select either true or false.

If more than one record is found that matches your search, all matching records will be displayed in a list:

The movie title and the primary genre (Genre 1) will be displayed for each matching record. Select the movie you wish to view and click the Select button or press Enter.


Movie Data Fields

The information for each movie is recorded in the fields listed below. The intended purpose of each data field is fairly self explanatory. Below is a list of the data fields available in All Movie Tracker.

Title -- The title of an individual movie. This is the main identification of the movie that appears in all of the program's standard reports. You will probably find it useful to include in most of the custom reports that you create as well. The description is a text field that may contain up to 80 characters. When you use the Next and Previous buttons to move through the individual movie records in the database, the movies are sorted alphabetically by title.

Producer -- The producer of the movie.

Director -- The director of the current movie.

Actors -- The actors appearing in the movie. You will probably not want to try to enter every actor appearing in each movie, but use it to record the star or any actor you may wish to search for.

Studio -- The movie studio that produced the movie. This field appears as a drop-down list. You may either enter the studio by typing it, or select a studio already entered from the list. As you begin to type, any matching studio already entered will be displayed. If the proper studio appears, just press the Tab key to advance to the next field and continue. If an incorrect studio is displayed, simply keep typing. All of the fields that are presented as drop down lists work the same way as the Studio field.

Writer -- The movies writer or writers.

Music -- Record any information about the music used in the movie that you wish to record.

Awards -- This is a text field to enter any information about awards or award nominations for the current movie.

Genre 1, 2 & 3 -- These fields allow you to record the genre or genres associated with your movies. Because many movies span multiple genres (both Science Fiction and Comedy, for example) three fields have been provided to record movie genres. The Movies by Genre report allows you to find movies that are included in two specific genres (or three genres), or to list movies that are associated with either of two genres.

All Movie Tracker comes with a list of typical genres already in place. You may use these genres, or add additional genres just by entering them in one of the genre fields. If none of the movies in your collection belong to a particular genre, you may delete it by going through the Maintain -> Genres menu option.

Play Time -- This field allows you to record the play time in minutes of the current movie. This is a numeric field and will only accept an integer value.

Year -- This field accepts a 4 digit value for the release year of the current movie.

Location -- If you have a large collection that is stored in several different areas, the location field allows you to record the place where the movie may be found. As with all drop down lists, you may add a new location just by typing it in, or you may add and delete locations by using the Location option on the Maintain menu. Enter a location of "Rented" if you wish to keep track of movies that you have borrowed, or a location "loaned to..." to keep track of movies that you have let your friends borrow.

Series -- For movies that are part of series of multiple movies (such as the Start Trek or Star Wars movies), this field provides a place to record the name of the series that the movie belongs to.

Media Format -- The format of the movie recording, typically DVD or VHS tape. As with all drop-down lists, you may easily enter any additional media formats needed for the movies in your collection, including any formats yet to be invented.

Rating -- The official rating for the current movie. The standard list of movie rating categories are available by default.

Screen Format -- Full Screen or Wide screen.

Personal Rating -- Allows you to score movies yourself, based on how much you liked them. A list of 1 to 4 stars is provided, but this can be easily changed to any rating system you may wish to use.

Bonus Features -- For DVDs that include deleted scenes or other bonus features, you may record the details here.

URL -- If there is a web site devoted to a movie, you may enter the site URL here. The Go button to the right of this field will open a new browser window and take you directly to that web site.

Price -- Enter the price paid or the estimated value of each movie here. This amount is used by the Value by Location report, and provides a way to determine the total value of your movie collection for insurance purposes.

Disks -- The number of disks or tapes included. Accepts a number and defaults to one.

Notes -- Any additional information about the movie may be entered here. This is a text field that will scroll to new lines automatically and will store any amount of text you wish to enter.


Maintain Menu Options

Options on the Maintain Menu allow you to add, edit or delete the values that appear on any of the drop down lists on the main screen, such as genre, location and personal rating. While a new value may also be created just by entering it in the field on the main window, you may change a value here and have that changed applied to all of the movies that have that value associated with them. You may also delete values so that they will not appear in the drop down lists (but only if that value is not in use for any movie).


Maintain Genres

Select Genre from the Maintain Menu to display or modify the genres recognized by the program. Any Genre you enter here may be associated with a movie record, and will appear in the drop-down lists for Genres 1, 2 and 3. If a genre is associated with at least one movie record, it cannot be deleted. A new genre can also be added just by entering it in one of the genre fields on the main screen.

The buttons at the bottom of this window behave the same way as in other parts of the program. The navigation buttons (First, Previous, Next and Last) may be used to move between different records, Find will find a specific record, Add New will add a new record and Delete will delete a record. Click on Ok to close the window when you are finished.

A set of typical genres popularly used to describe movies is included with the program when you first install it. You may use this window to modify the descriptions for those genres, or to remove a genre that you are never likely to use.


Maintain Locations

Select Locations from the Maintain Menu to display or modify the locations recognized by the program. When you first install All Movie Tracker, an short list of locations is defined for demonstration purposes. You may delete these locations or enter any additional locations that you would like to have the program recognize. If a location is associated with at least one movie record, it cannot be deleted. The locations that you define here appear in the drop-down list of the Location field on the main screen. You may also add a new location just by entering it in the Location field on the main screen.

Maintain Media Formats

Select Media Formats from the Maintain Menu to display or modify the media formats recognized by the program. When you first install All Movie Tracker, the formats "DVD" and "VHS Video Tape" are defined. You may delete these formats, change the description of these formats, or enter any additional media formats that you would like to have the program recognize. If a media format is associated with at least one movie record, it cannot be deleted. You may also add a new media format just by entering it in the field on the main screen.

Maintain Personal Ratings

Select Personal Ratings from the Maintain Menu to display or modify the personal ratings recognized by the program. These are the scores that you can assign to movies in your collection, based on how much you liked them. When you first install All Movie Tracker, an initial list of ratings from 1 to 4 stars is defined. You may delete these ratings or enter any additional personal ratings that you would like to have the program recognize. If a personal rating is associated with at least one movie record, it cannot be deleted. The personal rating that you defined here appear in the drop-down list of the Personal Rating field on the main screen. You may also add a new personal rating just by entering it in the Location field on the main screen.

Maintain Ratings

Select Ratings from the Maintain Menu to display or modify the ratings recognized by the program. When you first install All Movie Tracker, the list of standard ratings applied to movies in the USA is defined. You may delete these and enter any additional ratings that you would like to have the program recognize. If a rating is associated with at least one movie record, it cannot be deleted. You may also add a new rating just by entering it in the Rating field on the main screen.

The navigation buttons may be used to move between different records, Find will find a specific record, Add New will add a new record and Delete will delete a record. Click on Ok to close the window when you are finished.


Maintain Screen Format

Select Screen Format from the Maintain Menu to display or modify the screen format descriptions recognized by the program. The formats that you define here appear in the drop-down list of the Screen Format field on the main window. If a screen format is associated with at least one movie record, it cannot be deleted. You may also add a new screen format just by entering it in the Screen Format field on the main screen.

Maintain Series

Select Series from the Maintain Menu to display or modify the series names recognized by the program. The series that you define here appear in the drop-down list of the Series field on the main screen. When you first install All Movie Tracker, there are no series names defined. If a series is associated with at least one movie record, it cannot be deleted. You may also add a new series just by entering it in the Series field on the main screen.

Maintain Studios

Select Studios from the Maintain Menu to display or modify the studios recognized by the program. The studio identifies the movie company that produced a movie. The studios that you define here appear in the drop-down list of the Studio field on the main screen. When you first install All Movie Tracker, a a small initial list of studios is defined for demonstration purposes. You may delete these studios or enter any additional studios that you would like to have the program recognize. If a studio is associated with at least one movie record, it cannot be deleted. You may also add a new studio just by entering it in the Studio field on the main screen.

Reports Menu

The All Movie Tracker program includes a number of reports that provide useful information about the movies you have entered. A number of these reports have additional options that you may specify to control what information is included in the report. These options are discussed in the sections below for the individual reports. Note that almost all of the standard reports included with the program can be duplicated as custom reports. With custom reports you have additional options for including additional columns, sorting in different ways and selecting different records to include in the report. All reports are displayed in your default browser, from where they may be viewed, printed or saved.


All Movies by Title

The All Movies by a Title Report provides a complete list of all movies entered in the database. It is sorted by the movie title, which is included as the first column. This report also includes movie genres, media format and location.


Movies by Genre

The Movies by Genre Report first presents a window with report options. You may select to include all movies, sorted by genre, or a report showing only movies with selected genre(s).

Note that the lists to select genres on the right are not enabled unless you select the option labeled "Include only the genre selected." These lists allow you to select up to three genres. The "AND" and "OR" options allow you to select either movies that are associated with all of the selected genres, or movies that have any one of your selected genres.

This report is sorted by genre and also has columns for movie title, format and location. The genre column lists all genres selected for the movie -- up to 3, with genre 1 appearing first.


Movies by Location

The Movies by Location Report presents an option screen that allows you to include all movies or only movies for a selected location on the report. Select "Include all Locations" to generate a report including all movies sorted by location, or select "Include only the Location Selected Below" to generate a report that will show only the movies for that location. The report includes columns for Title, Genre and Media Format.


Movies by Media Format

The Movies by Media Format Report presents an option screen that allows you to include all movies or only movies for a selected media format on the report. Select "Include all Media Formats" to generate a report including all movies sorted by format, or select "Include only the Media Format Selected Below" to generate a report that will show only the movies for that format, such as a report of all DVDs or all VHS tapes. The report includes columns for Title, Genre and Location.


Movies by Personal Rating

The Movies by Personal Rating Report presents an option screen that allows you to include all movies or only movies for a selected rating on the report. Select "Include all Personal Ratings" to generate a report including all movies sorted by personal rating, or select "Include only the Personal Rating Selected Below" to generate a report that will show only the movies that have been assigned that rating. The report includes columns for Title, Genre, Media Format and Location.


Movies by Rating Report

The Movies by Rating Report presents an option screen that allows you to include all movies or only movies for a selected rating on the report. Select "Include all Ratings" to generate a report including all movies sorted by rating, or select "Include only the Rating Selected Below" to generate a report that will show only the movies with that rating. The report includes columns for Title, Genre, Media Format and Location.


Movies by Screen Format Report

The Movies by Screen Format Report presents an option screen that allows you to include all movies or only movies with a selected screen format on the report. Select "Include all Screen Formats" to generate a report including all movies sorted by format, or select "Include only the Screen Format Selected Below" to generate a report that will show only the movies with that format. The report includes columns for Title, Genre, Media Format and Location.


Movies by Series Report

The Movies by Series Report presents an option screen that allows you to include all movies or only movies for a selected series on the report. Select "Include all Series" to generate a report including all movies sorted by series, or select "Include only the Series Selected Below" to generate a report that will show only the movies in that series. The report includes columns for Title, Genre, Media Format and Location.


Movies by Studio Report

The Movies by Studio Report presents an option screen that allows you to include all movies or only movies for a selected studio on the report. Select "Include all Studios" to generate a report including all movies sorted by studio, or select "Include only the Studio Selected Below" to generate a report that will show only the movies with that studio. The report includes columns for Title, Genre, Media Format and Location.


Movie Count

The Movie Count option on the Reports Menu does not actually produce a report. Instead it shows a simple count of the total number of movies that have been entered in the database. Use the other report options described in this section to produce an actual report that includes detailed information about your movies.


Value by Location Report

The Value by Location Report produces a report that includes the price entered for each movie, subtotaled by location and with a grand total at the end. The report also includes columns for Title, Genre, Media Format and Disk Count.


Production Details Report

The Production Details Report includes columns for Title, Year, Producer, Director, Actors and Studio. It is sorted by the movie title.


Format Details Report

The Format Details Report includes all movies entered in the database and has columns for Title, Media Format, Screen Format, Play Time and Disk Count. It is sorted by the movie title.


Ratings and Notes Report

The Ratings and Notes Report includes all movies entered in the database and has columns for Title, Rating, Personal Rating and Notes. It is sorted by the movie title.


Custom Reports

As well as the standard reports described previously, All Movie Tracker will allow you to create totally customized reports that include only the information you want in the order you want it presented. Select the Custom Reports option on the Reports Menu. These reports can be displayed on screen, printed or saved to files.

When Custom Reports is selected, a list of all available fields is displayed in the left top corner of a new window. These are the fields of data that the program allows you to enter for each movie and that may become columns in your report.

Select the fields that you wish to show in your report and click on the arrow button pointing to the right to move them into the "Fields to Report" list. If you add a field by mistake, click on the arrow button pointing left to remove it. If you wish to change the order of the fields in your report, click on the up or down arrow buttons to move a highlighted field name up or down.

When each field is selected in the "Fields to Report" list, options affecting that specific field are displayed in the far right side of the window. Check off the "Hide Field" option if you wish to use a field for selecting which records to report but do not actually want a column in your report for that field. You may also enter Selection Criteria for each field you have selected to include in your report. This allows you to decide which movies should show up as rows in your report. The specific criteria you may enter will depend on the type of data that the field stores.

Three drop down lists at the bottom left of the Custom Reports window allow you to control the order in which the selected records appear in your report. The three drop-down lists are labeled primary, secondary and tertiary sort. Each list contains all of the available database fields. You might select Year for the primary sort and movie title for the secondary sort, for example. This would sort the rows of your report by year first, and then sort by title within each year.

Once you have entered all of the details to design your custom report, you may save the report specification in order to quickly run the same report at a later date. Use the options on the File Menu on the Custom Report window to save reports, to open previously saved reports or to clear all report options in order to start a new report.
